Share a collection
Choose who can open a collection page, invite people with a role, and send view-only share links you can turn off.
Last reviewed: October 1, 2026
Sharing a collection has three separate controls in the Share dialog:
- Who can open the collection page: the visitor access level.
- Share links: private, view-only links for collections that are not open to everyone.
- People: named people you invite with a role.
Before you start
- You need to be the owner or a Manager of the collection to change sharing. Others see "Only managers can change sharing".
- Check the items first. Links and videos inside keep their own passwords and expiry dates.
- People you invite need a Qorlivo account with the email you invite.
Choose who can open the collection page
- Open the collection and choose Share.
- Under Who can open the collection page, pick one option:
| Option | Who can open it | Good for |
|---|---|---|
| Private | You, members of the workspace, and the people you invite. | Work in progress and internal libraries. |
| Invited people | Only people you invite, after signing in with the invited email. | Client deliverables and restricted material. |
| Anyone with the link | Anyone who has the collection link. It is not listed or indexed, but anyone you send it to can forward it. | Sharing with a group without accounts. |
| Public | Anyone. Search engines can list it. | Resource pages you want people to find. |
"Anyone with the link" is unlisted, not private. Use Invited people or a Private collection with share links when it matters who sees it.
For Anyone with the link and Public, the dialog shows the Collection link with Copy link, and a Custom URL field. Changing the custom URL stops the old address from working.
Send a share link
Share links let someone view a Private or Invited people collection without an account. They are view-only and never let anyone edit.
- In Share links, choose how long it works in Link works for: 1 day, 7 days, 30 days, or Until I turn it off.
- Choose Create share link.
- Copy the new link right away with Copy share link. For security, it is only shown once.
- Send it. It looks like
https://www.qorlivo.com/share/....
Each active share link is listed with when it was created, when it stops working, and how many times it was opened. Choose Turn off to end it; anyone using it loses access right away. Anyone who has a share link can forward it.
Invite people
- In People, type one or more addresses in Invite by email. Press Enter or a comma after each.
- Choose a Role:
| Role | Can do |
|---|---|
| Viewer | Open the collection and its items. |
| Commenter | View and join the discussion. |
| Editor | Add, change, and remove items. Can't change who has access. |
| Manager | Edit and decide who has access. |
- Choose Send invites. Each person gets an email and has access after accepting it.
You can only give roles up to your own. Inviting someone to a collection does not add them to your workspace. Pending invites show when they expire; change the role to resend, or choose Cancel invite. Use Remove access to take a person off the list.
When it works
- The visitor access summary under the heading matches what you chose.
- Share link recipients open the collection and see "You opened this through a share link."
- Invited people see You're in after accepting, then the collection.
Common problems
| What you see | What to do |
|---|---|
| "Only managers can change sharing" | Ask the owner or a manager to change sharing or make you a manager. |
| The Share links section is missing | Share links are for Private and Invited people collections. For the other two options, send the collection link instead. |
| A recipient sees Share link expired or Share link turned off | See Share link is expired or turned off. |
| An invited person sees "Sign in with the email address this invite was sent to" or No access | See Invite says the email does not match. |
| You lost a share link before copying it | It can't be shown again. Turn it off and create a new one. |
| A link in the collection asks for a password | Items keep their own passwords. Share the password separately or remove it from the link. |
